Enabling professional-quality content translation

Our marketing agency provided not only content strategy and development for our client, but also translation of select content from English to Spanish. Due to high translation volumes beyond what our in-house translator could process, we regularly outsourced some of the work to an external translation agency.

With my background in professional Chinese-English translation, I was familiar with software and AI solutions that were the standard in the translation industry. By advocating for and implement these solutions, I helped bring our content translation back in-house to achieve significant operational efficiency and savings.

My roles

Strategy

I worked across departments to identify needs and pain points and ways computer assisted translation (CAT) and AI tools could solve them. From there, I researched to find the right solutions for our agency’s needs, proposed the solution, advocated for it and won buy-in from key stakeholders.

Execution

Once we had the green light, I facilitated the purchase and setup of the software tools along with onboarding and training. For the remainder of the implementation, I served as a consultant who helped formulate standard operating procedures, run tests, and troubleshoot technical and procedural issues.

Process and approach

  1. Identify needs and pain points with existing processes.
  2. Seek the right combination of CAT and AI tools.
  3. Draft proposal, share with team for review, seek teammate buy-in, submit for administrative approval.
  4. Facilitate purchase, setup, onboarding, and training.
  5. Help create SOPs, run tests, and troubleshoot.

Results

Rapid translation

The new tools allowed us to pre-translate high volumes of content in minutes while referencing client- and industry-specific language from past translations. This allowed our in-house translate to edit an already high-quality translation rather than translating from scratch and keep translations consistent across a broad range of projects.

Elimination of mundane tasks

The tools supported working directly with design files, eliminating many data entry and design adjustments. The software also included numerous QA tools to further polish our final deliverables.

Costs down, capacity up

Overall, the new tools reduced costs and increased capacity by an estimated 30% on large content translations—and will create even more efficiencies with annual refreshes of that content—while improving quality and consistency across translation projects.
